How to manage your mailbox size

Overview

Your Rollins mailbox has a storage limit of 99 GB. If you start to approach this limit, you will receive an email notifying you. Once your mailbox reaches its storage limit, you will be unable to send or receive new emails. There are a few steps you can take to resolve this issue:

How to utilize your online archive

How to manually move emails to your online archive

  1. Open Outlook
  2. In your folder list, find and expand your Online Archive folder
    1. Note: this folder is called In-Place Archive in Webmail
  3. Drag and drop email messages to and from your archive folder as needed
    1. Outlook for Windows allows you to move individual emails or folders
    2. Outlook for Mac and Webmail allow you to move individual emails only

How to use retention policies to move emails to your archive

How to turn on retention policies: 

  1. Open your Rollins webmail
  2. Click the Settings gear at the top right of your mailbox
  3. Click View all Outlook settings
  4. Select Retention Policies from the menu on the left of the pop-up
  5. Click Add new policy
  6. Select the policy you would like to apply
  7. Click Save

How to apply the policy to specific folders in Outlook for Windows:

  1. Open your Outlook desktop application 
  2. Right-click on the folder you would like to assign the retention policy to 
  3. Select Properties
  4. Click the Policy tab
  5. Click the drop-down under the Online Archive section and select the policy you want to apply to the folder

How to apply the policy to specific folders in Webmail:

  1. Open your Rollins webmail
  2. Right-click on the folder you would like to assign the retention policy to 
  3. Select Assign Policy
  4. Click the Policy tab
  5. Select the policy you want to apply to the folder

How to empty your junk and/or deleted items folders:

  1. Open your Outlook
  2. Find the Junk and/or Deleted Items folder in the folder pane
  3. Right-click the folder and select Empty Folder
  4. Select Delete on the confirmation pop-up
    1. NOTE: This will permanently delete all emails in these folders
