Microsoft Teams: Inviting a Guest to a Meeting in Process

There are two ways to invite a guest to an ongoing Teams meeting. You can either send them the meeting link or add the contact to the video call. The Add Contact method is recommended for guests you will add to calls often. You will need to be in an ongoing call already for both.

Meeting Link Method

  1. Click the Show Participants button in the menu (Note: You may need to move your mouse for it to appear)


     
  2. Click the link icon on the right side of the screen to copy the meeting link to your clipboard


     
  3. Paste the link in an email (Right click then click paste or use the keyboard shortcut, Ctrl + V, to paste)
  4. Send the email to the guest you are inviting
    The guest will receive the email with the link to join the meeting. They will not have to log in or sign up to join the meeting. 


     

Add Contact Method

  1. Go to Chat (do NOT end the call)


     
  2. Go to the Contacts tab


     
  3. Click the 3 dots by Other Contacts. 


     
  4. Click Add a contact to this Group. Once you add the guest as a contact you will not have to add them again.
  5. Type the email address of the guest user. 
  6. Click the Enter key
  7. Click add. 
  8. Return to the call by clicking the video in the upper left corner (do not click the menu)
  9. Click the Show Participants button in the menu (Note: You may need to move your mouse for it to appear)


     
  10. Type the email address of the contact in the search bar


     
  11. Select the contact you wish to add to the call. They will then be sent a notification on Teams that you want them to join a meeting. They can Accept or Decline. Clicking Accept will add them to the meeting call. (The contact needs to be online to receive the notification)
