How to share files in Sharepoint and OneDrive

  1. Click on the sharing icon next to the item you want to share
  2. Click the settings gear next to copy link
  3. Customize how you want to share your item:
    1. Choose who you want to share it with 
      1. If you select Anyone, it can be forwarded to anyone and they will be able to view it (this can only be selected for OneDrive sites)
      2. If you select People in Rollins College, it will include anyone with a Rollin's email address including students
      3. If you select People with existing access, it will reshare the file with people in our organization who already have access
      4. If you select People you choose, only the people you send the link to will be able to view the files
    2. If you want users to be able to view, review, or edit the file(s)
    3. If the link will have an expiration (only available when Anyone with selected, this is recommended)
    4. If the link will be password protected (only available when Anyone with selected)
  4. When you are done selecting options, click Apply
  5. There are two ways to share the link:
    1. Click the Copy link button and paste it into an email (recommended method)
    2. Type in the email address(es) of the people you want to share it with and click Send
