How to use Zoom AI Companion Smart Recordings

What is Smart Recording?

Smart Recording allows users to organize cloud recordings, and prepare summaries and action items for Recorded sessions. This feature can be especially useful for long meetings and webinars - such as a lecture, brainstorming session, etc - where you may want to divvy up the recording for easier viewing. 

 

Prerequisites for using Smart Recording

Before you can use the Smart Recording feature within the Zoom AI Companion, you'll need to ensure that you have all the proper settings enabled for the application to function properly. 

  • Smart Recording enabled
  • Cloud recording enabled
  • Create audio transcript enabled

Note: This feature only applies to new recordings generated after enabling those settings.

To start the Recording within the Meeting, Click the AI Companion button at the bottom row of the screen, and select Cloud Recording.

Within your Smart Recording Settings you can enable for Smart Recordings to begin automatically at the start of every meeting you host. They will automatically start as soon as someone joins the meeting, and can be turned off if you, or your participants, decide not to record specific meetings. 

 

Features of Zoom AI Smart Recordings

Recording Highlights: Zoom will automatically highlight the most important parts of the meeting or recording. Hosts can adjust the highlights as needed. 

Smart Chapters: Zoom will automatically group sections of the recording into chapters with an overview, which can be manually edited by hosts. 

Next Steps: Zoom automatically summarizes action items and next steps to take after the recording. If there are additional, modified, or unnecessary next steps the host can manually edit these. 

Meeting Coach: Zoom AI can provide additional analytics on key meeting factors including talking speed, talk-listen ratio, longest spiel, filler words and more.

 

Access and Manage Smart Recordings

Once the recording has processed, the host will receive an email that the recording has processed and is ready to view and edit. Hosts and those with access permissions can edit transcripts, highlights, chapters, next steps, and trim the recording length. The recording can be downloaded, or shared to participants and/or stakeholders.

From the Web Portal:

  1. Navigate to rollins.okta.com; login with your Rollins credentials
  2. Click on the Zoom tile
  3. Within the web app navigation menu, click Recordings
  4. On the Cloud Recordings tab, click the name of the recorded meeting or webinar to access a list of recording files
  5. Click the Video thumbnail with the play icon to open the recording
    • The transcript will automatically appear to the right of the video. 

Through the Zoom desktop application:

  1. Open the Zoom Desktop Application
  2. From the main dashboard, in the bottom right hand corner, click Open Recordings
    • You should see a list of recent recordings
  3. Click the Video Thumbnail with the play icon to open the recording
    • The transcript will automatically appear to the right of the video.
