Origins and goals

The campus-wide IT assessment in 2019 identified a need for increased collaboration with the community when making significant decisions about IT resources. Additionally, there is an ever-increasing need for high-quality data to help inform and improve the operations of the College.

IT Governance and Data Governance committees have been formed to meet these needs.

The goal of both IT and Data Governance is to bridge campus, IT, and data. This will enable cross-divisional collaboration and stakeholder buy-in for projects, processes, policies, and products that have institution-wide impact.

Governance committee meetings began in April 2022 and have made meaningful progress. Updates on projects and policies will be shared by each committee, as needed.

Governance representatives (see the attachment to this article) are a great resource to get more information. Below you can find links to submit requests to either governance committee.

First governance efforts

One of the first proposals, endorsed by IT Governance and announced via email on July 20, was consolidating our videoconferencing solutions down to Teams; read more about the next steps of that Teams transition project.

The first items that Data Governance will deliberate on are how to define “full-time” students and “study away” status. There are currently several different definitions of full-time students, and study away is not predictably recorded. Data Governance will provide consistency in both definition and process which will improve the quality of insight that can be provided by this data. 

Submitting a governance request

I have a project idea, what next?

Do you have a complex problem that would benefit from new or improved technical solutions? Are you considering a new platform, website subscription, or piece of software to enhance the work you or your department does? 

IT would love to help as you’re planning and considering options to make sure what you get is reliable, secure, and supported by the Rollins IT environment. 

To get started, submit a project request. These are reviewed weekly and, if necessary, will be routed through governance to address any significant risk or impact to college operations.  

Any project takes time and they can often be more complex than they first appear; we encourage you to submit a request early in the process, ideally with two months' lead time at a minimum. When projects are approved we want to make sure there are enough resources to support your request, so they may need to be scheduled in advance. 

We’ll help you through the process; the overall goal is to help you do what you need to do in a way that works for Rollins over time. 

I'm looking for data, how can I get it?

Do you need data to complete a project or make decisions? Have you encountered data that is incomplete or inconsistent and is affecting your ability to generate reliable reports? Are you doing complex manipulation of data in Excel spreadsheets or do you have a Microsoft Access database that you run routinely but don't know how it works or how to make changes? 

If you have answered "yes" to any of the above questions, then there is a good chance that we can partner with you and solve those issues. To get started, just create a data request and we will collaborate with you to get an understanding of your business requirement and provide an appropriate solution.
